add your properties

Now you’re ready to add and configure your properties. This step is extremely detailed - deliberately so, to ensure thoroughness - but extremely easy and intuitive to complete.

First, choose the type of property and add the address and time zone.

Next, tap which rooms are relevant to this property, and remember to specify how many.

Then, add the features you would like to include in your inspections for each room. You can modify the name of the room for easier recognition.

Add  your tenant's details, including their name, email and contact number. We won't be sending any messges to your tenant until the first inspection is scheduled. Then, a photo of your property...

...and your setup is complete!

schedule your first inspection

Click on the plus sign to create an inspection, and choose whether this will be a Remote or Onsite inspection. Select the property, select the tenant, then choose the type of inspection, and choose a date and time.

Your tenant will receive an email with details on how to download the Tenant Connect App, which includes their login and password, as well as details of the scheduled inspection.

Remote inspections

A remote inspection will function like a video call, along with all the inspection features and functionalities we've built in for you.

When the inspection is scheduled to start, both you and your tenant must click on the Scheduled Inspection and select "Join" to initiate the video call. The app will already have your property details ready, which includes details about each room and each feature, as well as previous issues associated with this property stored in its memory, so you don’t have to prepare or familiarise yourself with the historical details first.

Simply follow the prompts and tell your tenant which room and feature you would like to view next.

If you see something on your video stream that you’d like to document, simply ask your tenant to point their phone towards the feature and all you need to do is tap the +Photo icon. There are no limits to how many photos you can take for each feature. Tap on the photo once it's taken to see more detail, and move into half screen mode to delete any that you don't want by tapping the X in the top corner.

Your tenant will see a brief pop-up notification informing them that a photo has been taken.

You can also insert a comment against a feature while you're inspecting. For example, “Carpet dirty - Sarah to clean ahead of next inspection”.

Screen mirroring

Your tenant will see you tapping YES or NO in the “Working”, “Clean” and “Undamaged” icons in real-time on their screen. They'll also see when you've taken a photo. This is great for tenant transparency and trust.

historical issue pop-ups

Any time you hit NO against "Working", "Clean" or "Undamaged" for a particular feature during a previous inspection, it will pop up as an alert as soon as you reach that feature during your inspection.

This makes it easy to check whether previous issues have been resolved, ensuring effective continuity across the entire tenancy.

Onsite inspections

For onsite inspections, you'll be physically present at the property. Simply open the Tenant Connect app on your phone and navigate to the property inspection.

As you walk through the property, the app will prompt you to assess each room and feature, where you can tap Yes or No against "Working", "Clean" and "Undamaged", insert comments, and take photos directly within the app. Once you've completed the inspection, review your inputs and finalise the inspection.

As with Moving In inspections, your tenant will also have up to 7 days to review your inputs and make any additional comments or observations. During this time, they can't alter your entries but can add their own photos, comments and indicate agreement or disagreement with your assessments.

Note that, for the moment, Tenant Connect's moving in inspections do not cover features related to the minimum standards, health and safety, water and efficiency, and communication setup.

For an Ongoing Onsite Inspection, you'll have the opportunity to review your inputs, finalize the inspection and generate a downloadable PDF report sent to you and the tenant.

You can view properties and previous inspections within the app at any time. Our servers store your data securely so you don’t have to worry about paperwork or information going missing. Data about every inspection will always be available within Tenant Connect.

Onsite inspection review

you've reached the end of the inspection

Congratulations on completing the inspection!

Now is the perfect time for you to talk about any concerns or questions with your tenant during the inspection.
When you've reached the last feature, the button will read "Submit" instead of "Next", which will end the call with your tenant. After the inspection, you can review your input.

Finalise the inspection

For Moving-in inspections, your tenant has seven days to review and add their comments and photos and agree/disagree with your assessment. They'll receive emails and push notifications to remind them of this. Once finalised, a PDF report will be generated and made available to both parties. Note that Tenant Connect is able to record conditions of features in the property for the moving-in inspection, not structure defects, pest issues or compliance issues.

With Ongoing and Moving Out inspections, finalise the inspection after you have optionally reviewed the details for accuracy.

For Moving In inspections, tap 'Send to Tenant for Review' after your optional review. Once the tenant completes their review, you can go ahead and finalise.

Tenants will be sent reminder emails and push notifications within the seven days while they are reviewing the Moving-in inspection, and then you'll receive a notification once the tenant completes their review, indicating it's time for you to review their input. After your review, finalize the inspection to generate the PDF report, which is available within Tenant Connect. Any comments the tenant added during their review, including photos and yes/no's to whether they agree with your comments, will be printed on the PDF report and available to view in Tenant Connect. If you'd like to respond to your tenant's comments, do so by giving them a call or contacting them separately from the app.

Remember that each completed inspection will be available for review within the app.
